About The Role

As a Training Operations Specialist on our Educate Team, you’ll be the operational backbone of our AI Literacy programs, ensuring every client training journey is smooth, structured, and exceptional. You’ll own the logistics, systems, and communications that make our Foundation Series, Connect Series, and any future series run seamlessly.

This role demands someone who takes satisfaction in completing tasks, closing loops, and seeing things through to the finish line. You’ll thrive if you love building order out of complexity, learning new tools quickly, and improving processes every time you touch them.

What You'll Do

Client Onboarding & Experience

  • Own the client onboarding process from first welcome email to program kickoff.

  • Build and maintain client portals with up-to-date training materials, schedules, and resources.

  • Serve as the go-to operational contact for clients via email, Slack, and occasional virtual sessions.

  • Draft, refine, and maintain helpful, on-brand communication templates.

Training Operations & Scheduling

  • Manage and maintain training calendars for multiple program series.

  • Coordinate schedules using Calendly, ensuring trainers, clients, and materials are always in sync.

  • Track client-specific requirements and ensure all logistics are aligned before each session.

  • Maintain and troubleshoot automation flows using HubSpot, Zapier, Notion, and Gmail.

AI-Driven Process Improvement

  • Leverage AI tools like ChatGPT, Gemini, Grok and Claude to automate scheduling, communications, and documentation.

  • Identify manual processes and lead the transition to AI-powered, scalable workflows.

  • Collaborate with the team to continuously refine and improve operational systems.

What You Bring

Must-Haves

  • Proven ability to drive tasks to completion and keep projects moving without hand-holding.

  • Exceptional organizational skills with the ability to manage multiple timelines and priorities.

  • Proactive, solutions-oriented mindset; you take ownership and follow through.

  • Proficiency with Google Workspace, Hubspot, Slack, ClickUp, and Notion.

  • Experience with Calendly, email automations, and workflow tools.

  • Strong communication skills and a client-first mindset.

  • Comfort working in a fast-paced, evolving environment.

Strongly Preferred

  • 2+ years in training operations, client success, or program coordination.

  • Hands-on experience with AI tools (ChatGPT, Gemini, Grok, Claude, etc.).

  • Experience improving operational documentation and processes.

  • Background in SaaS, tech-enabled services, or business training programs.

  • Demonstrated ability to learn and adapt to emerging tools quickly.
