About The Role

The Client Operations Specialist is the link between our internal teams and our clients, ensuring every interaction is smooth, professional, and value-driven. This role blends operational execution with proactive relationship management, serving both our Educate (AI Literacy) clients and our Integrate (AI Implementation) clients.

You’ll manage onboarding, maintain communication channels, track progress, and anticipate client needs while also keeping projects and deliverables moving on schedule. Your work will directly influence client satisfaction, retention, and the perceived value of our services.

What You'll Do

Client Onboarding & Relationship Management

  • Lead onboarding for new Educate and Integrate clients, ensuring resources, expectations, and schedules are clear.

  • Serve as a consistent point of contact, maintaining rapport and trust.

  • Monitor client progress, proactively address issues, and celebrate milestones.

  • Create and maintain client-facing resources in Notion.

Project & Operations Coordination

  • Schedule and coordinate meetings, training sessions, and integration milestones.

  • Ensure timely delivery of materials and alignment across internal teams.

  • Track client-specific needs and make sure they are integrated into project plans in ClickUp.

Communication & Documentation

  • Draft and maintain on-brand communication templates for various client scenarios.

  • Maintain accurate, up-to-date client records in HubSpot and Notion.

  • Provide regular updates to internal stakeholders on client status.

AI-Enhanced Process Improvement

  • Use tools like ChatGPT, Gemini, Grok and Claude to automate repetitive communications and workflows.

  • Identify opportunities to streamline client operations and improve scalability.

  • Collaborate with operations and delivery teams to enhance the overall client experience.

What You Bring

Must-Haves

  • Proven ability to manage both detailed operational tasks and client relationships.

  • Strong organizational skills with a track record of completing projects on time.

  • Excellent verbal and written communication skills.

  • Comfort working with cross-functional teams and multiple client accounts.

  • Proficiency with Google Workspace, HubSpot, Slack, ClickUp, and Notion.

Preferred

  • 4+ years in client operations, customer success, or account management.

  • Hands-on experience with AI tools (ChatGPT, Gemini, Claude, etc.).

  • Background in SaaS, consulting, or training environments.

  • Demonstrated ability to adapt quickly to new tools and processes.
